This policy covers only the seanspilot.com website. The Seanspilot desktop app records, transcribes and drafts notes locally on your device; it does not send client data (audio, transcript, notes) to any server or third party.

2. What data do we collect, and how?

The website collects as little as possible. The data we collect is limited to the following:

a) Beta application form

When you submit the form we receive: full name, email address, Mac model, RAM, and optionally practice/clinic name and a message. We receive these only when you send them, and only so we can respond to your application.

b) Cookieless usage statistics (optional)

When enabled, the site may use a privacy-friendly, cookieless analytics tool (Umami). It does not set cookies, does not fingerprint your browser, and does not identify you personally. It produces only aggregated, anonymous statistics: the page viewed, the referring site, an approximate geographic region (country level) and a general browser/device type.

c) Server / hosting logs

The site is published statically on a hosting provider. The provider may keep standard technical logs (for example IP address, request time, browser information) for security and continuity of service.

We do not use third-party advertising networks or tracking pixels. We do not sell your data or share it with third parties for marketing.

3. Why we process the data

  • To review your beta application and to contact you,
  • To answer your questions,
  • To keep the site secure and working,
  • To understand, in anonymous and aggregated form, how the site is used so we can improve the content.

4. Cookies

The website does not use functional, advertising or tracking cookies. The analytics tool, when enabled, is cookieless. There is therefore no cookie-consent banner on the site.

5. Transfers

Your personal data is processed only to the extent needed to provide the service, through the following providers:

  • Hosting and form infrastructure: The site and the beta application form are published on a hosting provider (Netlify); form submissions are stored in that provider’s form service.
  • Analytics: Cookieless statistics may use Umami (self-hosted or Umami Cloud).

These providers’ servers may be located outside Turkey; any such transfer is made in accordance with applicable law. See the KVKK notice for more detail.

6. Retention

We keep information you send through the form for as long as needed to complete your request, then delete it or anonymise it. Anonymous statistics are not personal data.

8. About the desktop app

The Seanspilot desktop app is independent of this website. Recording, transcription and clinical-note generation run entirely on your device, offline. No client data leaves the app or is sent to this website. Disclosure and consent duties toward your clients remain yours as the data controller.

We may update this policy from time to time. The current version is always published on this page.
